RealProof Privacy Policy
RealProof ("we", "us", "our") is a Shopify app that collects and displays verified customer reviews. This policy explains what data we collect, why, who we share it with, and the choices you have. It applies to merchants who install RealProof and to customers who receive a review request from a merchant using RealProof.
1. Who is responsible for your data
For merchant data, RealProof is the data controller. For customer data (the merchant's shoppers), the merchant is the data controller and RealProof acts as a processor on the merchant's behalf.

2. Data we collect
From merchants (through Shopify):
- Store name, store domain and store owner email
- Store settings, plan and billing status (payments are handled by Shopify; we do not receive card details)
- Product titles, IDs and images, so reviews can be linked to products
About customers (through Shopify orders):
- Name and email address
- Order ID and the products purchased
- Shopify customer ID, used only to create a discount reward
We only receive this when an order is fulfilled.
From customers who submit reviews:
- Star rating and review text
- Photos and videos the customer chooses to upload
- The name shown with the review
Other data:
- Shopper interactions with storefront features, such as clicks on UGC video, linked to a product and not to an identified person
- Messages and details merchants send to our support team
We do not collect sensitive personal data, and we do not knowingly collect data from children.
3. How we use data
- To send review request emails to customers after fulfilment
- To collect, moderate and display reviews on the merchant's storefront
- To show review structured data so products can qualify for star ratings in Google search results
- To create and email single-use discount codes to customers who leave a review, when the merchant enables this
- To provide analytics, usage limits and billing for the merchant
- To provide support, keep the app secure, and meet legal obligations
We do not sell personal data. We do not use it for advertising, and we do not use it to build profiles for other merchants.
4. Where reviews and media are stored
Photos and videos uploaded with reviews are stored in the merchant's own Shopify Files and are delivered through Shopify's CDN. Reviews shown on a storefront are publicly visible on that merchant's store.
5. Who we share data with
- The merchant whose store the data belongs to.
- Shopify, to read orders and products, store files, create discounts and manage billing.
- Service providers that host our systems and send email on our behalf. They may process data only to provide their service to us.
- Authorities, where required by law.
We do not share personal data with anyone else.
6. Data retention and deletion
- Data is kept while the merchant has RealProof installed.
- After a merchant uninstalls the app, we delete that store's data within 30 days, in line with Shopify's data-deletion requests.
- When a customer asks a merchant (or us) to delete their data, we delete their name, email, reviews and related records within 30 days, unless the law requires us to keep something.
- Backups are deleted on their normal cycle.
7. Your rights
Depending on where you live (including under the GDPR, UK GDPR, and California CCPA/CPRA), you may have the right to access, correct, delete, restrict or export your personal data, and to object to processing. You also have the right to complain to your data protection authority.

We respond within 30 days.
8. Security
Data is sent over encrypted connections. Access to our systems is limited to authorised staff and protected by authentication. Review-request links are unique to each order and can be used only once. No system is fully secure, but we work to protect your data and will notify you of a breach where the law requires.
9. International transfers
Our providers may process data outside your country. Where required, we rely on appropriate safeguards such as standard contractual clauses.
10. Changes to this policy
We may update this policy. If changes are significant, we will notify merchants by email or in the app. The "Last updated" date shows the latest version.
